Class Rollup budget vs actual by class

Google Sheets add-on

The one row QuickBooks won’t give you.

QuickBooks Online can show budget vs actual for each class. It cannot add those classes up. This add-on builds the whole report in Google Sheets — every class, plus the company-wide total — from two exports you already know how to run.

No QuickBooks connection · No monthly fee · 5 free reports

Why this exists

You can get the classes. You can’t get the sum.

This is not a missing report. It is a missing row — and it is the row you have to hand to an owner, a board, or a client.

What QuickBooks Online does

  • Budget vs Actuals, subdivided by class
  • Budgets built per class
  • Profit and Loss by Class

What it leaves you to do by hand

  • Consolidate the classes into one company-wide budget vs actual
  • Rebuild the same spreadsheet every month
  • Re-check the arithmetic each time you rebuild it

Why not one of the sync tools?

Tools that live-sync QuickBooks into Sheets start at roughly $20 to $99 per month and require you to connect your books over OAuth. If what you need is the consolidated budget vs actual, that is a subscription and an authorisation for a single report. This add-on never touches your QuickBooks account: it reads two exports you paste into a sheet, and you pay once.

Three steps, then a button

Paste, paste, build.

Step one

Export your actuals

In QuickBooks, run Profit and Loss by Class for the period. Export it, then paste it into a sheet named Actual.

Step two

Export your budget

Run Budget Overview for the same period and paste it into a sheet named Budget.

Step three

Build the report

Open the add-on, pick the two sheets, press Build. Your settings are remembered, so next month is one click.

What lands in the sheet

  • ·Every account, actual against budget, per class
  • ·Variance in money and in percent
  • ·Net income per class
  • ·Company total across all classes
  • ·Unclassified transactions kept visible, not silently dropped

Built for a finance review

Expenses carry the sign an accountant expects, so an overspend reads as unfavourable rather than as a positive number. Subtotals that QuickBooks prints inside the export — gross profit, net operating income — are recognised as subtotals, not re-added as if they were accounts.

It is a normal Google Sheet when it is done. Edit it, add a column, send it.

Questions

Before you install.

Do I have to connect my QuickBooks account?

No, and you cannot. The add-on has no connection to QuickBooks at all. It reads two exports that you paste into your own spreadsheet, which means there is no authorisation to grant and no access to revoke.

Which QuickBooks plan do I need?

Any plan that has class tracking and budgets — in practice, QuickBooks Online Plus and above. If you are on Advanced, check Spreadsheet Sync first; it may already cover what you need.

Does it change anything in QuickBooks?

It cannot. Nothing is written back, because nothing is connected. The add-on only reads the sheets you point it at and writes one new sheet of results.

Where does my financial data go?

It stays in your spreadsheet. The report is calculated inside your own Google Sheets document. Your figures are not sent to, or stored on, any server of ours.

What happens after the five free reports?

The add-on stays installed and your settings are kept. Building a new report requires a licence key, which you paste into the side panel once.

Can I get a refund?

Yes. If it does not do what this page says, email within 30 days of purchase and you get your money back. You do not need to give a reason.
